Lead Response System
Every enquiry answered, followed up and booked, including the ones that arrive at 22:00 or ring while nobody is at the desk
Overview
Most Swiss SMEs do not have a lead generation problem. They have a lead response problem. The enquiries already arrive: a form submission at 21:40, a phone call while the owner is on a site visit, a WhatsApp message to a mobile number printed on a van, an email that lands in a shared inbox nobody owns. By the time somebody gets back to the caller the next morning, the prospect has already spoken to two other suppliers. Nothing was overspent on marketing. The work simply left the building unanswered.
A lead response system closes that gap. It is not software we sell you a licence for. It is a system we design, build, connect to the tools you already use, and then operate on infrastructure we run and maintain, so that the response happens whether or not anyone is free to make it happen.
The first job is capture. Every route a customer can reach you by is wired into one place: the website form, the phone line, the mailbox, the messaging channels, the ad click that never made it as far as a form. A missed call is treated as an enquiry rather than as nothing, so the caller receives an immediate acknowledgement asking what they need and when they are reachable, and the enquiry exists in writing even though nobody picked up. Out of hours contacts are captured the same way and are waiting, already qualified, when the team starts the day.
The second job is follow up. A single reply is rarely what wins the work; the third one often is, and it is the one that never gets sent. The system follows up on a schedule you approve, on the channel the customer chose rather than the one that is convenient for you, and it stops the moment a human replies so nobody is ever chased by a machine while they are already in conversation with a person. Consent state and opt out are recorded on the contact record itself and honoured across every channel, and the distinction between an existing customer and a cold contact is carried through the system rather than left to whoever is sending.
The third job is the appointment. Booking, confirmation and reminders run automatically, with a reschedule link rather than a dead end, because a customer who can move an appointment in two taps moves it instead of silently not turning up. Every confirmed slot lands in the calendar your team already lives in.
The fourth job is the review. A request sent at the right moment, once the work is done and while the customer is still pleased, is the difference between a review profile that grows quietly every month and one that has not moved in two years. The system asks at that moment, once, and never asks the people it should not ask.
The fifth job is keeping it all in one place. Every lead, every conversation across every channel, every quote sent and its current state, on one record instead of scattered between a personal inbox, a phone, a notebook and a spreadsheet. When somebody is off sick or leaves, the history stays with the business.
The sixth job is reporting. Which source produced the enquiry, how quickly it was answered, what happened to it, and what it turned into. Not a dashboard for its own sake, but the small number of figures that tell an owner whether to spend more on one channel and less on another. Where the reporting side becomes the main event, we build it out properly as business intelligence dashboards.
How we work: a short discovery to map how enquiries actually reach you today and where they currently die, an agreed design for what happens to each type of enquiry, a build and connection phase against your existing calendar, mailbox, phone number and quoting tools, a supervised pilot on live traffic, and then ongoing operation with a monthly review. We integrate, configure, automate and operate. We do not hand you a login and wish you luck.
The same team builds the neighbouring capabilities, and they fit together rather than competing: a conversational front door through AI chatbots and voice assistants, the back office work that follows an enquiry through business process automation, a customer facing view of jobs and quotes through client portals and dashboards, and a wider plan for where automation goes next through AI integration consulting. The full picture is on the AI and automation hub, and if you are based in or around the city, the Zurich services page covers how we work locally.
One word on the law, because it matters here. Automated outreach by email, SMS and messaging apps, and the way you ask for reviews, are regulated in Switzerland, and the rules are not the same for someone who is already your customer as for someone who has never bought from you. We build the system so that consent, opt out and that distinction are recorded and enforced rather than left to memory, and we document what it does. This is general information, not legal advice. Confirm your own setup with a Swiss lawyer or with the Federal Data Protection and Information Commissioner before you launch a campaign.
If enquiries are reaching you and quietly going cold, a thirty minute conversation is enough to see whether this is worth building. We will map where your enquiries currently leak, say plainly which parts are worth automating and which are not, and tell you if the honest answer is that you need a better phone rota rather than a system.

Our Process
Enquiry Mapping
We trace how enquiries actually reach you today, by phone, form, email and messaging, and where each type currently stalls. The output is a plain map of every route in and every point where work is lost.
Response Design
We agree what happens to each type of enquiry: who answers, how fast, on which channel, how many follow ups, when it escalates to a person, and when it stops. Nothing goes live that you have not signed off in writing.
Build & Connection
We build the system and connect it to what you already use: your phone number, mailbox, calendar, website forms, messaging channels and quoting or invoicing tools. Existing contacts are imported and de-duplicated.
Supervised Pilot
The system runs on live enquiries with a person watching every message before volume increases. We tune wording, timing and escalation rules against real replies rather than assumptions.
Handover & Training
Your team learns the daily view: what needs a human, what is already handled, how to take over a conversation mid-sequence. Written runbooks in your working language, in German, French, Italian or English.
Operation & Monthly Review
We operate and maintain the system, monitor it, and meet you monthly to look at what came in, what was answered, what booked and what should change next.
What You Receive
Frequently Asked Questions
What exactly is a lead response system?
It is the layer between an enquiry arriving and a human dealing with it. It captures the enquiry whatever route it came in by, replies immediately, qualifies it in writing, follows up on an approved schedule until a person takes over, books and confirms the appointment, and keeps the whole history on one record. We build it, connect it to the tools you already use, and operate it.
Do we have to replace the systems we already use?
Usually not. The point is to connect what you have: your existing phone number, mailbox, calendar, website forms and quoting or invoicing tools. We replace things only where the current tool genuinely cannot hold the data, and we say so before we build rather than after.
What happens when someone calls and nobody picks up?
The missed call is treated as an enquiry. The caller gets an immediate acknowledgement asking what they need and when they are reachable, and their reply becomes a written, qualified enquiry sitting on a record, not an unknown number in a call log. Your team sees it with context when they are next free.
Will customers realise they are talking to an automated system?
We write the messages to sound like your business and to be honest about what they are. Nothing pretends to be a specific member of staff. The moment a customer replies with something that needs a person, the sequence stops and it is handed to your team with the whole conversation attached.
Is automated follow up allowed under Swiss law?
Automated outreach by email, SMS and messaging apps, and the way you solicit reviews, are regulated in Switzerland, and the rules differ between someone who is already your customer and someone who has never bought from you. We build the system so consent state, opt out and that distinction are recorded on every contact and enforced on every channel, and we document how it behaves. This is general information, not legal advice. Confirm your own setup with a Swiss lawyer or with the Federal Data Protection and Information Commissioner at edoeb.admin.ch before you launch a campaign.
Which languages does it work in?
German, French, Italian and English. Sequences, booking flows, reminders and review requests are written per language rather than machine translated from one master, and the contact record carries the customer's language so every later message stays in it.
What does it cost?
Pricing is on request and scoped after the enquiry mapping session, because the honest number depends on how many routes in you have, how many follow up paths you need and which tools we have to connect to. Build and ongoing operation are quoted separately so you can see what is one off and what is monthly. We do not publish a rate card we would then have to caveat.
How long before it is live?
Enquiry mapping happens in the first weeks, then the system runs as a supervised pilot on real enquiries before volume increases. We would rather run a narrow version on live traffic early than demonstrate a wide version that has never met a real customer.
Who owns the data?
You do. Your contacts, conversations and quote history are yours, exportable in a standard format on request, at any point, including if you stop working with us.
Can you promise more leads or more appointments?
No, and be careful with anyone who does. What we can describe is the mechanism: an enquiry answered while the customer is still deciding is in a different position from one answered the next morning, and a reminder with a reschedule link gives a customer something to do other than not turn up. Whether that moves your numbers depends on your market, your prices and your team. We measure it with you rather than promising it up front.
We are a small team. Is this overkill?
It is often the opposite. A large team can absorb a slow response because somebody is usually free. A team of four cannot, which is exactly why enquiries go cold there. If your enquiry volume is genuinely low and predictable, we will tell you that a better phone rota is the cheaper fix.
What happens if something breaks?
The system is monitored and we operate it, so a failure is our alert before it is your problem. It is built to fail into a human queue rather than to silently drop an enquiry: if an automated step cannot run, the lead surfaces for a person instead of disappearing.
